About the role
Our client is looking for a Bookkeeper and Accounts Administrator to join their team. The candidate will be responsible for maintaining accurate financial records and ensuring the timely processing of financial transactions for both Head Office and Branch operations. Salary: Negotiable Responsibilities: Create and maintain customer accounts in the ERP system, ensuring accurate information and proper authorisation of amendments. Process and administer all lay-by transactions, monitor outstanding balances, and follow up on overdue accounts.
Create and maintain approved Salary Service Bureau (SSB) customer accounts and process approved SSB sales transactions. Monitor SSB applications and outstanding approvals and prepare monthly performance reports. Process approved credit notes, verify supporting documentation, and maintain accurate records. Monitor credit note trends and report unusual activity. Verify supplier invoices and prepare payment vouchers for approval. Allocate operating expenses to the correct General Ledger accounts and cost centres. Prepare and process monthly journal entries and maintain supporting schedules.
Assist with month-end financial adjustments and ensure all journals are properly authorised. Prepare and maintain supplier, customer/debtors, lay-by, and assigned General Ledger reconciliations. Investigate and resolve reconciling items and financial discrepancies promptly. Prepare daily and monthly lay-by reports, SSB sales reports, debtors age analysis, supplier reconciliation reports, and other financial reports as required. Provide financial and accounting support to branches on customer accounts, lay-by administration, credit notes, expenses, financial procedures, and system queries.
Maintain accurate accounting records and complete audit trails for all transactions. Ensure compliance with accounting policies, procedures, and internal controls. Identify opportunities to improve bookkeeping, reporting, financial controls, customer account administration, lay-by, and reconciliation processes. Recommend practical improvements to increase efficiency and reduce errors.

At least 2-5 years' experience in bookkeeping or accounts administration. Experience with accounting software or ERP systems. Strong Microsoft Excel skills.
Good understanding of basic accounting principles and reconciliations. Experience in a retail, manufacturing, or trading environment is an advantage. Strong numerical, organisational, and analytical skills.
