Tender registration guide

Register correctly. Bid with confidence.

PRAZ supplier registration and ZIMRA tax compliance are separate requirements. Complete both before preparing a public-sector bid, then follow the requirements in the specific tender document.

Supplier and category registration

Creates the supplier profile, approved procurement categories and PRAZ certificate used for public procurement.

ZIMRA / TaRMS

Tax registration and ITF263 clearance

Creates or links the taxpayer record and provides tax-clearance evidence when the taxpayer remains compliant.

Step 1

Tax readiness

Register with ZIMRA

Create and activate a TaRMS Self-Service Portal account.
Choose Register as an Organisation, Register as an Individual, or link an existing BP number.
Complete the entity forms and upload the supporting documents requested for that registration type. ZIMRA issues a Taxpayer Identification Number after approval.
Keep required returns, payments and taxpayer details current. ZIMRA says the ITF263 Tax Clearance Certificate is automatically generated and emailed to compliant taxpayers; there is no separate clearance application.
If VAT registered, keep applicable fiscalisation obligations current as well.

Step 2

Supplier eligibility

Register with PRAZ eGP

Sign up with a unique email, password, security question and the organisation coordinator's details.
Request the email OTP and enter it within five minutes, then log in as a supplier.
Complete the organisation profile, directors, shareholders, addresses, ownership details and at least one bank account. Upload the entity-specific documents in PDF and accept the authenticity declaration.
Open Category Application → Apply Category and select every goods, works or services category the organisation can demonstrate capacity to supply.
Select the registration year and payment method, review the invoice, pay online or offline, upload payment evidence where requested and submit.
After approval, use Organisation → View & Download Certificate. Registration runs through 31 December of the approved year and must be renewed annually.

ZiG equivalents move with the prevailing rate; confirm the invoice before paying. PRAZ describes its 48-hour profile review as guidance, not a guaranteed turnaround.

Bid submission

Find, prepare and submit the tender response

Confirm eligibility. Make sure the PRAZ certificate is current and covers the exact category stated in the tender.
Read the complete notice. Check specifications, mandatory documents, clarification and site-visit dates, bid validity, fees or security, addenda, and the precise closing time.
Add the opportunity. Log in as Supplier, open Menu → Bulletin Board → Latest Tenders, select the notice and choose Add to My Opportunities.
Prepare the response. Choose Individual or Joint Venture, accept the terms and pay any tender-specific fee shown by eGP.
Complete every template. Fill or upload the eligibility, technical and financial/price templates, then encrypt and save each required response.
Submit and retain proof. Check the mandatory disclaimer, submit the bid, verify the success confirmation, and retain the submission page or receipt with the bidder and tender reference.
Monitor until closing. Review clarifications and addenda. Bids may be modified or withdrawn before the deadline, but any change must be saved and resubmitted.

Do not leave submission to the final minutes. For eGP notices, submit through eGP—not by email, letter, fax or SMS—unless the official tender expressly directs otherwise. Late responses, missing mandatory attachments, unpaid required fees or missing bid security can cause rejection.

Certificate of incorporation and requested CR forms
Valid ZIMRA ITF263 tax clearance
Current NSSA or VAT evidence where specified
Signed Bid Submission Sheet and Statement of Requirements
Technical response, price schedule and company profile
References and evidence of similar contracts
Bid security or bid-securing declaration where specified
Manufacturer authority, licences or site-visit certificate where specified
